Effective Invalid Date
This Privacy Policy explains how [Legal entity name] ("we," "us," or "our") collects, uses, and shares information when you use Ringdrill at ringdrill.com (the "Service").
Ringdrill is a training service for businesses. A business that subscribes to Ringdrill (a "Subscriber") invites its employees to use the Service to practice and be evaluated on customer phone calls.
Information we collect
Account information. When you are invited or sign in, we receive your name and email address. If you sign in with Google, we receive your name, email address, and basic profile information from your Google account. We do not access your Google contacts, files, email, calendar, or any other Google data.
Subscriber membership. We record which Subscriber (employer) invited you and your role.
Practice calls. When you take a practice call, your voice is captured through your browser's microphone and processed in real time to run the simulated conversation. We store a written transcript of each call, along with the scenario used, call timing, and the evaluation and scores generated from it. Audio may be retained by our voice service provider in accordance with its settings and policies.
Usage and technical information. Our servers and service providers record technical information such as IP address, browser type, pages requested, and timestamps, for security, troubleshooting, and operating the Service.
Cookies. We use cookies that are necessary to keep you signed in and to remember your light or dark display preference. We do not use advertising or cross-site tracking cookies.
How we use information
We use information to:
- provide, operate, and secure the Service, including signing you in;
- run practice calls and generate transcripts, scores, and written feedback;
- show your results to you, and to authorized personnel of your Subscriber and of our company who administer the Service;
- communicate with you about the Service, such as invitations and sign-in links; and
- maintain and improve the Service, and comply with legal obligations.
AI processing
Practice calls are conducted with an AI voice service, and transcripts are evaluated by an AI model to produce scores and feedback. We send call content to these providers only to deliver the Service. We do not use your information, including any information received from Google, to train artificial intelligence or machine learning models.
Google user data
Ringdrill's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use the information received from Google (your name, email address, and basic profile information) only to sign you in and identify your account. We do not sell it, use it for advertising, or share it with third parties except as needed to provide the Service or as required by law.
How we share information
We do not sell your personal information. We share information only:
- With your Subscriber, which can see the practice calls, transcripts, and scores of its users;
- With service providers that process information on our behalf to operate the Service: Supabase (database, authentication, and file storage), Render (application hosting), ElevenLabs (AI voice for practice calls), Anthropic (AI evaluation of transcripts), and Google (sign-in and web fonts);
- For legal reasons, when required by law or to protect the rights, property, or safety of us, our users, or others; and
- In a business transfer, such as a merger or acquisition, subject to this Policy.
Data retention
We keep account information while your account is active. We keep practice call transcripts and evaluations for as long as your Subscriber's account is active, unless deletion is requested sooner, and then delete or de-identify them within a reasonable period, except where we must retain information to comply with law.
Security
We use reasonable administrative, technical, and physical safeguards to protect information, including encrypted connections and access restricted by role. No method of transmission or storage is completely secure.
Your choices
You can ask us to access, correct, or delete your personal information by contacting us at the address below. Because the Service is provided to your employer, we may need to coordinate requests with your Subscriber.
Children
The Service is intended for use by businesses and their employees and is not directed to children. We do not knowingly collect personal information from children under 16.
Changes to this Policy
We may update this Policy from time to time. We will post the updated Policy on this page and update its effective date.
